Institutional repositories aim to gather, treat and disseminate information resources produced in a given institution. The adoption of an indexing policy aims to improve information retrieval by the user community of the institutional repository, by proposing elements that standardize the practices of librarians who work in subject cataloging. The objective of the research is to analyze the perception of managers and indexers of Brazilian institutional repositories about the indexing policy for information organization and representation, with the specific objectives of performing a compared evaluation of elements and variables (characteristics, processes, and instruments) of the indexing policy regarding indexing and retrieval, discussion of vocabulary control procedures, and obtaining an overview focusing on the perception of the need for an indexing policy in Brazilian institutional repositories. Semi-structured interviews were applied to nine participants from eight institutional repositories to investigate the requirements, elements and variables of the indexing policy in the practice of managers and librarians of institutional repositories. The results reveal the need for improvements in the practices of the analyzed institutional repositories regarding the activities of subject cataloging, standardization of subject metadata, and vocabulary control, queries, and in carrying out tests or trials for continuous evaluation of indexing and information retrieval with users. The study also revealed that this scenario can be more positive if institutional repositories adopt an indexing policy for the practices they perform in repositories to be understood by managers and librarians as a tool to improve information retrieval. Purpose The purpose of this study is to analyse the recommendations on knowledge organisation from guidelines, policies and procedure manuals of a sample of institutional repositories and networks within the Latin American area and observe the level of follow-up of international guidelines. Design/methodology/approach Presented is an exploratory and descriptive study of repositories’ professional documents. This study comprised four steps: definition of convenience sample; development of data codebook; coding of data; and analysis of data and conclusions drawing. The convenience sample includes representative sources at three levels: local institutional repositories, national aggregators and international network and aggregators. The codebook gathers information from the repositories’ sample, such as institutional rules and procedure manuals openly available, or recommendations on the use of controlled vocabularies. Findings The results indicate that at the local repository level, the use of controlled vocabularies is not regulated, leaving the choice of terms to the authors’ discretion. It results in a set of unstructured keywords, not standardised terms, mixing subject terms with other authorities on persons, institutions or places. National aggregators do not regulate these issues either and limit to pointing to international guidelines and policies, which simply recommend the use of controlled vocabularies, using URIs to facilitate interoperability. Originality/value The originality of this study lies in identifying how the principles of knowledge organisation are effectively applied by institutional repositories, at local, national and international levels.

Introdução: Com a crescente importância dos recursos digitais na democratização da informação científica e as fragilidades desses recursos torna-se crucial garantir a preservação da informação científica em formato digital. Isso garantirá que os bens culturais e testemunhos da memória científica sejam transmitidos para as futuras gerações e que os processos de produção de conhecimento e inovação científicas sejam preservados. Objetivo: Este estudo tem como objetivo realizar uma análise bibliométrica quali-quantitativa do cenário da produção científica internacional sobre a preservação digital da informação científica, utilizando a aplicação Mendeley da Elsevier. O estudo é exploratório e descritivo e visa entender o comportamento da produção da literatura nos últimos 10 anos (de 2012 a 2022) em torno da preservação digital da informação científica. Metodologia: Foram coletados dados através da aplicação Mendeley, onde foram recuperadas um total de 904 publicações. Com base na aplicação do Protocolo de Revisão Bibliométrica, foram selecionadas 94 publicações, que constituíram o conjunto de textos de análise do estudo. A análise dessas publicações foi baseada em cinco categorias, utilizando os seguintes indicadores bibliométricos: periódico científico, publicações, ano de publicação, buscas/acessos, autoria e conteúdo abordado. Resultados: A análise revelou um aumento na produção científica em torno da preservação digital da informação científica nos últimos cinco anos, com uma tendência de abordar questões emergentes deste campo, como repositórios científicos, repositórios de dados, uso de metadados, serviços de nuvem, descrição e representação de dados e informações. Conclusão: Conclui-se que há a necessidade de aprofundamento dos estudos dessas temáticas, assim como a realização de revisões sistemáticas da literatura para aprofundar as discussões específicas tratadas por esses estudos.
