This article describes the design and development of an interoperable application that supports green open access with long-term sustainability and improved user experience of article deposit. The lack of library resources and the unfriendly repository user interface are two significant barriers that hinder green open access. Tasked to implement the open access mandate, librarians at an American research university developed a comprehensive system called Easy Deposit 2 to automate the support workflow of green open access. Easy Deposit 2 is a web application that is able to harvest new publications, to source manuscripts on behalf of the library, and to facilitate self-archiving to a university’s institutional repository. The article deposit rate increased from 7.40% to 25.60% with the launch of Easy Deposit 2. The results show that a computer system can implement routine tasks to support green open access with success. Recent developments in digital repository provide new opportunities for innovation, such as Easy Deposit 2, in supporting open access. Academic librarians are vital in promoting “openness” in scholarly communication, such as transparency and diversity in the sharing of publication data.

Most out-of-the-box institutional repository systems do not provide the workflows and metadata features required for research data. Consequently, many libraries now support two institutional repository systems—one for publications, and one for research data—even when there are nearly a thousand data repositories in the United States, many of which provide services and policies that ensure their trustworthiness and suitability for research data. Libraries are either increasing spending by purchasing data repository solutions from vendors, or replicating work by building, customizing, and managing individual instances of data repository software. This article gives an update on a potential solution to this issue: An in-progress prototype for an open source Dataset Search tool that promotes discovery and reuse of institutional research datasets through automatic metadata harvesting and search engine optimization. Once finished, the Dataset Search tool has the potential to support three key impacts: Increasing discovery, reuse, and citation of research data; reinforcing the idea that research data are a legitimate scholarly product; and promoting community-owned systems that require less resource expenditure.

The Scholarly Communication Initiatives and Digital Collections departments within the University adapted staff workflows to become student-centered, where workers create digital content for the University’ digital repositories. Each department has a diverse set of needs; Scholarly Communication Initiatives hires students to help with the creation of metadata records, review open access options for sharing each work, and upload items into the institutional repository. Digital Collections relies on students to scan, create metadata, and upload images online that reflect physical holdings in Special Collections and Archives. Utilizing student workers also provides more time for full-time staff to work on higher-level projects and to update, rethink, improve, and streamline existing workflows. Both departments have found that student-centered workflows teach technical and transferable skills while also encouraging students to grow professionally, academically, and socially, setting students up for success beyond graduation. Empowering the whole student and encouraging their personal and collaborative growth thus helps each department to become more efficient and successful in their missions, a triumph that is possible for any library department of an academic institution. While there is a large body of research on student workers in libraries, including on the topics of management and specific functional areas, there is very little research focused on student workers in digital repositories. This article begins to fill this gap and discusses the philosophies and methodologies of both departments’ approaches, as well as the results of implementing student-centered processes for the department and full-time staff.
