In 2016, Florida State University adopted an institutional Open Access policy, and the library staff were tasked with implementing an outreach plan to contact authors and collect publication post-prints. In 2018, I presented at Open Repositories in Bozeman to share our workflow, methods, and results with the repository community. This workflow utilizes both restricted and open source methods of obtaining and creating research metadata and reaching out to authors to make their work more easily accessible and citable. Currently, post-print deposits added using this workflow are still in the double digits for each year since 2016. Like many institutions before us, participation rates of article deposit in the institutional repository are low and it may be too early in the implementation of this workflow to expect a real change in faculty participation.

Purpose – The purpose of this paper is to describe the Electronic Theses and Dissertations program implemented and managed by the Indiana State University since 2009. The paper illustrates issues relating to the background, policies, platform, workflow and cataloging, as well as the publication and preservation of graduate scholarship. Design/methodology/approach – The authors examined many aspects of the Electronic Theses and Dissertations program and addressed issues dealt before, during and after the publication of the electronic theses and dissertations collection. The approaches the authors utilized are literature review and personal management experience from working on the program. Findings – Implementing an Electronic Theses and Dissertations program involves providing a series of management services. These services include developing relevant policies, implementing an archiving and publication platform and creating submission and publishing workflows, as well as cataloging, disseminating and preserving the student collection. Openly publishing the collection through a range of access points significantly increases its visibility and accessibility. Adopting several archival and preservation strategies ensures the long-term readiness of the collection. Originality/value – This paper will provide useful practices for implementing an ETD program to those institutions new to the ETD initiative process. It also contributes to the current body of literature and to the overall improvement of ETD programs globally.

In many cases, using SHERPA/RoMEO or similar tools, checking publisher policies and author license agreements, and contacting the publisher have been built into the deposit workflow.…”

Institutional repositories (IRs) have become established components of many academic libraries. As an IR matures it will face the challenge of how to scale up its operations to increase the amount and types of content archived. These challenges involve staffing, systems, workflows, and promotion. In the past eight years, Kansas State University's IR (K-REx) has grown from a platform for student theses, dissertations, and reports to also include faculty works. The initial workforce of a single faculty member was expanded as a part of a library-wide reorganization, resulting in a cross-departmental team that is better able to accommodate the expansion of the IR. The resultant need to define staff responsibilities and develop resources to manage the workflows has led to the innovations described here, which may prove useful to the greater library community as other IRs mature
