Organizing and managing personal electronic files

Abstract: This article deals with the organization and management of the computer files handled by mechanical engineers on their personal computers. In engineering organizations, a wide variety of electronic files (documents) are necessary to support both business processes and the activities of design and manufacture. Whilst a large number of files and hence information is formally archived, a significant amount of additional information and knowledge resides in electronic files on personal computers. The widespread us… Show more

“…Rather, it often relates the e-mail to project dimensions (for example, Report on Part X) [13]. This leads to the engineers having to read the full extent of the e-mail to elicit the purpose and thereby determine how and when they should respond.…”

“…This is similar to that of a library subject category system for locating similar references and was a consistent strategy used by participants in a mechanical engineer's study. 7 An example of the hierarchical system in the perioperative setting could be the implementation of a new piece of equipment requiring education, practice sessions, servicing and cleaning processes, budget, etc. that are the primary or main folder labels.…”

“…In construction, the sheer quantity and heterogeneity of content in engineering applications has been recognized (KIM 2006, Rezgui 2001, Hicks et al 2008 The aim of this research is to investigate how knowledge management systems used by civil engineers and construction professionals can be tailored to facilitate the retrieval of relevant content and its effective use/reuse or application to the task at hand. This research focuses particularly on information and documents linked to buildings and building models, rather than the knowledge embedded in the design and construction processes and the professionals performing those processes (for example, Table 3,2 in Tan et al 2010 attempts to list the sources of construction project knowledge).…”
